Caterers Information

Payment

-          Payment must be made by…. If the payment is not received by the stall will be withdrawn and reallocated to another caterer.

-          Payment must be made in full. We cannot accept part payments.

-          If the festival does not go ahead on the weekend you said you would be available you will be refunded in full.

-          Apart from the exception stated above no refunds will be given. The festival organisers are not responsible for the level of trading during the event.

Catering

-          The License for trading is from ….

-          The retail unit can be left overnight, however the festival organisers are not responsible for any loss or damage.

-          The pitch must be vacated by … and until …

-          Caterers must not sell products that have not been agreed in the contract.

-          Sub-contracting and sub-letting of the pitch or stall is not allowed.

-          Concessions have been agreed separately for sales of alcohol, ice cream, cigarettes, bottled water and energy drinks.

Passes and Vehicles

-          Caterers must ensure their staff have the relevant and approved passes.

-          Vehicle passes are not transferable.

-          Only diesel vehicles will be allowed on-site. Petrol vehicles must be parked in the car park.

-          All vehicles on-site must be insured by the caterer. The festival organisers are not responsible for any loss or damage.

-          Traders must pre-arrange and buy electricity and water from the on-site providers.

-          No motorbikes, quad bikes or buggies are allowed on-site.

Services

-          Electricity will be provided by …

-          No generators are allowed on-site.

-          Waste water must be put in containers provided. Disposal of waste water directly onto the ground or into ditches is prohibited and will result in the trader being closed down.

Wholesale and produce

-          All coffee, tea and drinking chocolate sold on-side must be Fairtrade.

-          We expect caterers to support British Farmers when purchasing their products.

-          Fish must be from a certified sustainable source.

-          Caterers must use compostable, bio degradable disposables including wooden cutlery.

-          Bottled Gas must pre-arrange and buy bottled gas from the on-site providers.

Health & Safety & License requirements

-          Your food stall is subject to inspection by members of the Kitesurfing Armada’s own H&S team as well as by the Local Authority and Fire Brigade officers. Traders must comply with general legislation relating to H&S.  This means working safely to build and dismantle the pitch as well as compliance with hygiene and food safety regulations.

-          Written Food Safety Management Procedures are required by law. These must be available for inspection at all times.

-          Ensure you prepare properly to construct and dismantle the stall.

-          All caterers must produce a Fire Risk Assessment of their operation, which shall include information on preventing fire and action to be taken if a fire breaks out. All caterers will be required to provide their own extinguishers, signs, training, etc.

-          Caterers are not permitted to have open fires at the back of the markets.

-          Sound systems must be approved by the festival organisers prior the event.

-          All caterers must provide proof of Employers Liability and Public Liability Insurance.

-          Caterers must be registered with their own Local Authority.

-          All caterers must adhere to the Smoke Free legislation.

-          Caterers must complete the Caterers Checklist and return it to the on-site festival office before trading can commence.

-          Glass is not permitted on-site.
